Overview

PoolPilot Pro helps pool service businesses manage customers, pools, equipment, routes, employees, visits, water testing, photos, reports, and business settings. We do not sell personal information or use third-party advertising.

Information processed

The app may process account email addresses, company and employee profiles, customer contact and service information, addresses, access notes, pool and equipment details, route assignments, service notes, chemical readings, chemicals added, diagnostic findings, follow-up plans, photos or printouts, and subscription entitlement records.

Businesses are responsible for having appropriate authority to enter customer and employee information.

Accounts and company sync

PoolPilot Pro uses Firebase Authentication, Cloud Firestore, Cloud Functions, and Cloud Storage to provide company accounts and synchronize approved Apple and Android devices. Company membership and role rules restrict access to the applicable workspace.

Local storage and offline use

The app keeps a local copy of operational data so field work can continue when connectivity is limited. Pending changes synchronize when a connection is available.

Photos, maps, and notifications

Photo-library or camera access is used only when a user chooses to attach service evidence, test strips, diagnostic printouts, or equipment photos. Addresses can be passed to Apple Maps or a mapping app when the user requests navigation. Notifications may be used for route or company updates when enabled.

Purchases

Apple and Google process purchases through their respective stores. PoolPilot Pro stores only the transaction or entitlement information needed to validate company access and does not receive or store payment-card details.

Retention, deletion, and security

Operational records are retained while needed to provide the service and maintain legitimate business history. Company owners may request account and workspace deletion by contacting support. We use platform authentication, encrypted transport, role-based authorization, and tenant-isolated database rules; no system can guarantee absolute security.
